How do I populate an Interactive Resource Plan?

To input details of who will work on a project you need to complete a Resource Plan.


Note: Unless specifically indicated as open to all resources, at project configuration; only those specified in a Resource Plan (plus the named Project Lead and Project Executive) will be able to charge time to the project.


Locate the Resource Plan for your project by following instructions Interactive Resource Planner: How do I find the project Interactive Resource Plan?


Add a line item for each team member assigned to work on the project: 

  1. Click the Add Role button.
  2. The Create Role modal box will pop up. Here you can enter details about the project role (for example - Designer). You can if you wish allocate a named resource to the role but you do not have to. 
  3. You can also optionally enter the cost of the role internally to the business and the cost to the client.
  4. Click Create. Topsail will create a line entry for the Role in the Interactive Resource Planner.
  5. Next you need to create a Booking for this role. By this we mean, determine when this resource will work on the project. You can do this by clicking the + icon next to the Role name or you can hold down your mouse over a particular date in the grid and drag it along the duration.
  6. The Edit Booking modal box will pop-up. This allows you to enter more detail about the booking. Specifically, the start and end dates.
  7. Enter the percentage of time you wish the resource to be allocated for. If a resource is solely allocated to this project, then enter 100%. Topsail allows you to have resources work on multiple projects and see the effects on utilisation. The Hours will be automatically calculated.
  8. Decide if this is a Hard or Soft Allocation. Hard bookings are those that are confirmed. Soft bookings can be used when a project is likely but unconfirmed and you wish to see the impact on team utilisation. The marker is a visual aid only and does not affect how the booking is treated by the system.
  9. You may choose to add notes.
  10. Press Confirm to save your work.
